6 Reasons You Need to Upgrade a Shoebox Accounting System!

If you've recently set up a small business, you probably feel (quite rightly!) that there are more pressing issues to worry about than monitoring your cashflow to an accountant's exacting standards. Most small businesses start off with a shoebox-style accounting system rather thanbusiness software like Peachtree Accounting. However, there comes a time in every business's life when enough is enough! Is it time for you to ditch the shoebox? Here are some great reasons to do so.
  1. Because it's easy not to get paid
If you don't have a formal way of tracking your accounts receivable, it's very likely that they'll just get lost in the minefield. If you don't take action on overdue accounts fairly soon, there could actually be a lega loophole that lets a customer off paying..
  2. Creeping expense levels
If you aren't monitoring your spending on a regular basis, it is very easy to overspend. The mentality is the same as with a credit card - it doesn't feel like you're spending money, so you assume that you're as rich as ever! Until you actually do the figures one day…
  3. The disaster factor
If your shoebox is actually a fireproof and floodproof box bolted to the office floor this is less of an issue. If not, then your business risks not being able to track creditors, and not meeting legal obligations.
  4. Cash flow monitoring
There's nothing more humiliating and concerning than having your business credit card turned down when you need something. Even if it isn’t permanent, you can avoid it by tracking cashflow with business software like Quickbooks or Peachtree.
  5. A cost delayed is a cost increased
If you leave all the sorting-out until the end of the year and ask your accountant to do it, it will cost you far more than simply the time it takes to organize your data as you go.
  6. The specter of bankruptcy
The majority of businesses go bankrupt within 5 years, and bad cashflow management and accounting awareness is a prime cause. Don't leave it until it is too late; don’t hope for the best - ensure that it happens for you!

Top FAQs for Peachtree Complete 2010

Peachtree Complete is one of the most popular business accounting software packages in use today - it is a large and very specialized program, and many people that use it aren't tertiary trained in accounting or cash management. So naturally there are quite a few questions that pop up about the program from small business accounting departments - here we go through some of the most common.
Can I convert to Peachtree Accounting from Quicken or Quickbooks?
From Peachtree Complete 2010, there is greatly improved support for switching from Quickbooks. Quicken, unfortunately, is not covered - however your business software trainer and installer may be able to think of a few workarounds to save you months of data re-entry! You can only convert from Quickbooks 2006-2009.
How scalable is Peachtree?
Funny question - nice pun! Peachtree is completely scalable - just don't knock off the fruit! It is very easy to scale up through the different levels of complexity of features that are needed - and it is just as easy to downgrade if you change your business model and find that your program features are no longer needed.
Can I upgrade from an earlier version of Peachtree without trouble?
As of 2007, Peachtree Complete software has been built on a Pervasive database. The reason that some earlier upgrades weren't as pain-free as we would have liked is because of the database switch. There is aplenty of expert help available if you need to upgrade from a version earlier than 2006, however.
Why is Peachtree Complete better than Quickbooks?
Well! There will always be people on either side of the fence on this one, and truthfully, tghere are reasons to get either pprogram. However, the reason we recommend Peachtree business software to some business owners is because:
  • Immense functionality in job costing, billing and time, fixed assets and inventory
  • There are plenty of internet tools
  • The setup is flexible
  • The system includes advanced analysis tools
